UPS and Power Protection: Keep Trading Through the Flicker

UPS and power protection is the equipment and maintenance that keeps a business trading through a power event, built around an uninterruptible power supply that carries the critical hardware on battery. In a small office its job is to hold the load long enough for an ordered shutdown, which takes minutes.

Power in most New Zealand towns is reliable enough that nobody specifies it. Then a digger clips a cable two streets away, the lights dip for two seconds, and half the office comes back to a login screen.

Two seconds is enough. A server part way through writing to disk does not finish the write, the record comes back damaged, and nobody sees it until somebody opens the file at month end.

Switches and firewalls are built for a steady supply, and repeated dips retire them years early.

Take an illustrative example. A Christchurch engineering firm with 18 staff sits on a feed that dips two or three times a year.

Two of those dips reboot the on-site server. Everyone stops while drawings are reopened and somebody works out what was lost. Call it 75 minutes across the team at $42 an hour loaded, so $945 an event and $1,890 a year.

A third dip lands mid-write on the job database, and rebuilding those records takes two people two days. Another $1,344.

Then there is hardware retiring early, about $960 a year, and the after-hours callouts that follow, roughly $1,900. Add them up and the flicker costs about $6,100 a year, on four lines that no invoice labels as a power problem.

What Is UPS and Power Protection?

UPS and power protection is the equipment and routines that keep critical hardware powered and stable when the mains supply misbehaves. The visible part is a battery unit in or beside the comms cabinet. The sizing, the shutdown configuration and the annual maintenance sit behind it.

The scope is narrow on purpose. This covers the electricity feeding the equipment and the few minutes either side of a power event. How the connection fails over is a separate question, covered in how a business internet connection is built to fail over.

What does a UPS do in the first seconds of a power event?

It carries the load on battery so the connected equipment never sees the interruption, switching to its own inverter within a few milliseconds. It also signals the equipment: a network card or USB cable alerts shutdown software, which closes everything down cleanly if the power stays off.

What is the difference between an outage, a sag and a surge?

They are separate faults with separate effects, and only one of them turns the lights off. Cheap equipment handles that one and ignores the rest.

  • Outage, also called a blackout: the supply stops and everything without a battery goes off.
  • Sag, or brownout in everyday speech: voltage drops below normal and power supplies run hot.
  • Surge or swell: voltage climbs above normal when a large load nearby switches off, degrading power supplies over time.
  • Transient: a short high-voltage spike from switching or a nearby lightning strike, which damages boards outright.

A flicker is a sag or a very short outage. Under a second is long enough to reset anything without a battery behind it.

Which Equipment Needs to Be on a UPS?

Four things, in a typical small office: the firewall, the network switch, the network attached storage unit and any on-site line-of-business server. Those four decide whether the site can trade and whether the data survives.

  • The firewall, because without it nothing reaches the internet and no remote worker reaches the office.
  • The switch, because a running server behind a dead switch is invisible.
  • The network attached storage unit, shortened to NAS, because it is often mid-write when the power drops.
  • The on-site server running the job, quoting or accounts system, because people are in it when the lights dip.

Add anything else only if somebody can say what it keeps trading. A reception desktop and monitor draw plenty of watts for little continuity value, and every watt comes off the runtime of the four above.

Does every desktop need a battery behind it?

No. A desktop losing power costs one person a few minutes of unsaved work, and modern applications recover much of it. The server it was writing to needs the protection.

Two exceptions are worth funding: a machine driving a production line, and a workstation mid-way through a long import.

What happens to the phones and the card terminal when power drops?

Both stop unless something holds them up. A voice over internet protocol handset dies with its switch, and an EFTPOS terminal dies with the router. It shows up first at a motel front desk with a guest waiting to pay, which is why front desk technology in accommodation is often where a business notices it has no power plan.

What Size UPS Do I Need for a Small Office?

For most offices under 30 staff, a 1500VA to 3000VA unit carrying only the critical hardware. The exact figure comes from two numbers: the measured load in watts and a runtime target in minutes.

UPS sizing is arithmetic. If a supplier quotes a model number before asking for your watts and your minutes, ask how they got there.

Start with the load. Read it from a plug-in meter, because nameplate ratings overstate real consumption by a wide margin.

Then convert. Units are sold in volt-amperes, abbreviated VA, or kilovolt-amperes above 1000, while equipment is rated in watts. A power factor near 0.9 links the two, so a 1500VA unit delivers roughly 1350 watts.

Schneider Electric’s guidance for its APC range recommends not running a unit above 80 per cent of its rated capacity. That turns 1350 usable watts into about 1080 watts of planned load, which is the figure to design to.

How many watts does a small comms cabinet draw?

Between 200 and 500 watts for the four devices that matter. A firewall draws 20 to 60 watts, a switch 30 to 150 depending on the power over Ethernet it supplies, a four-bay NAS 40 to 80, and a small server 120 to 250.

Power over Ethernet catches people out. A switch feeding twelve handsets and four access points can draw more than the server beside it.

The Christchurch firm measured 340 watts across its four critical devices. A 1500VA unit sits at about a quarter of usable capacity on that load and holds it for roughly 22 minutes. The same unit carrying the whole office at 1000 watts holds it for about four.

Why does doubling the battery not double the runtime?

Because a battery gives up less of its stored energy the harder you draw on it. Double the load and you get well under half the time, so always ask what load a quoted runtime was measured at.

So runtime is the wrong thing to shop for. Buy enough to finish a clean shutdown with a few minutes spare, and spend the difference covering a second site.

What Is the Difference Between a Line-Interactive and an Online UPS?

A line-interactive UPS corrects moderate voltage problems and switches to battery when the supply fails, while an online unit runs the load off its inverter so the mains never reaches the equipment. Line-interactive covers the great majority of offices. Online double conversion is for a supply that will not hold 230 volts.

The standard behind these classes is IEC 62040-3, which sets out how UPS performance is specified and tested. Vendors compress that into three letters on a datasheet, VFD, VI and VFI, for voltage and frequency dependent, voltage independent, and voltage and frequency independent.

When is the cheaper class the right answer?

When the supply is ordinary urban mains and the equipment tolerates a transfer of a few milliseconds. That describes most offices in Christchurch and Dunedin, and a line-interactive UPS is the right purchase. On a clean feed, online double conversion buys efficiency losses and a noisier unit.

Does a UPS need a pure sine wave output?

Yes for anything with a server-grade power supply. Cheaper standby units output a stepped waveform in place of a true sine wave, and the active power factor correction built into modern server and storage power supplies can reject it and drop the load at the moment of transfer.

Check the datasheet says pure sine wave before the unit goes near a rack. It is the specification missing from the cheapest listing that otherwise looks identical.

What does online double conversion protect against?

Continuous voltage instability, and any transfer gap at all. Equipment behind it sees a clean 230 volts and 50 hertz whatever the mains is doing, which suits a long rural feed or a generator to ride through.

How Do You Maintain a UPS Once It Is Installed?

Three jobs, and they are the ones skipped most often: configure automatic shutdown, replace the batteries on a cycle, and load test the unit yearly. Skip them and the unit sits on charge for four years, then drops the load in the first real outage.

How does automatic shutdown work?

The unit signals its state to software on each protected device, which closes applications and shuts the system down before the battery empties. That signal travels over a network management card using simple network management protocol, abbreviated SNMP, or a USB cable to one machine.

Set the countdown to start when battery capacity falls below a chosen point, then test it with a real power cut outside business hours. Until it runs, nobody knows whether the countdown is set long enough.

How often do UPS batteries need replacing?

Every three to five years for the sealed cells in small units. Schneider Electric’s documentation for its APC range puts typical end of life for a valve-regulated lead-acid battery at about five years, and recommends replacing before that point.

Heat shortens the cycle. The same guidance notes that every 8 degrees Celsius above the optimum band roughly halves battery life, so a warm cabinet is an expensive place for batteries. Budget for UPS battery replacement from day one, at $350 to $1,200 a pack fitted.

What happens in an annual load test?

A technician moves the real load to battery and measures how long it holds, then compares it against the shutdown window the site designed for. A unit specified for 20 minutes that now delivers seven needs new batteries. Sites under a monitored managed IT service get it scheduled and recorded.

Why Does Network Equipment Fail Early?

Heat, dust and casual physical access, in that order. None causes a failure on the day, so the eventual replacement looks like normal wear. Heat does the most damage: a closed cabinet with no ventilation runs 10 to 15 degrees above ambient, and that falls hardest on the batteries at the bottom.

Physical access gets dismissed most often. A cabinet in a corridor collects boxes stacked against its vents, and the UPS lead gets pulled by whoever wants the socket for a heater.

Cabinet specification and ventilation belong to network cabling and the cabinet build. A battery in a hot cabinet will not last the years its datasheet quotes.

How Much Does UPS and Power Protection Cost to Set Up?

Between $1,950 and $5,400 as a one-off for a single comms cabinet in a 10 to 30 user office, then $500 to $750 a year. What moves the number is the measured load, the runtime target and whether one unit covers the site.

Set that against the engineering firm. Its 1500VA unit, with the load measurement, the install and a tested shutdown, comes to about $3,400 one-off, then $620 a year: $340 for the annual test and $280 set aside for the battery pack.

Of the $6,100 exposure, the battery removes the $1,890 of reboot time and the $1,344 rebuild outright, takes roughly $700 off the $960 of early hardware failure and $1,400 off the $1,900 of callout time. That is about $5,300 a year avoided.

Year one nets about $1,280 after the $3,400 install and $620 of running cost. From year two it settles near $4,700 a year, and payback falls inside eight months.

When Does a Business Need a Generator as Well as a UPS?

When the site has to keep trading through an outage measured in hours, and losing that trade costs more than the generator. A UPS is measured in minutes of runtime, while a generator runs for as long as you feed it diesel. The list that clears that bar is short: cool stores, aged care and medical facilities, and sites under a contracted operating obligation.

A generator does not remove the need for a UPS. Changeover takes 10 to 30 seconds on an automatic transfer switch, and the battery covers that gap. What the site does across a long outage belongs in a written disaster recovery plan.

What changes once the till and the phones are cloud services?

The dependency moves from the server to the connection and the protected-load list gets shorter. A cloud phone system needs the switch and router alive, so those two take the battery budget.

A site with no server still needs power protection, and needs less of it. A charged laptop on a mobile hotspot keeps the business selling for an hour.

How Do You Set Up UPS and Power Protection?

In six steps, and the first two cost almost nothing. Every later decision depends on the measured load, so the order is fixed.

  1. Measure the draw at the comms cabinet with a plug-in meter over a normal week.
  2. Write down the runtime target, which for most offices is a clean shutdown plus five minutes.
  3. List what goes on the battery and what stays off, agreed by whoever owns the trading risk.
  4. Choose the class and capacity from the measured figures, keeping planned load under 80 per cent of usable watts.
  5. Configure and test automatic shutdown on every protected device, with one real power cut outside business hours.
  6. Diarise the annual load test and the battery replacement date before the invoice is paid.

Installation sits under the Electricity (Safety) Regulations 2010, which came into force on 1 April 2010 and revoked the Electricity Regulations 1997, and people still search the older name. Anything involving fixed wiring or a new circuit is licensed electrical work, and the regulations point installations at AS/NZS 3000.

Steps one to three need no budget approval and take an afternoon. Steps four to six are where the budget goes, and skipping any leaves an untested unit in the rack.
