Gym IT Support

Exodesk supports the IT behind New Zealand gyms and fitness studios. We help keep staff devices, networks and WiFi working, protect business information, and coordinate with the suppliers behind membership, booking, payment and access systems.

For gyms with unstaffed hours, we agree how faults are detected, who responds and which supplier owns the next step, with support hours confirmed in your service agreement.

Gym IT support: a gym building with a door reader and controller, member WiFi kept on its own network, staff and payment systems on a separate business network, and connectivity monitored with suppliers coordinated. Conceptual only; systems and responsibilities are agreed for each gym.
The short answer

What does gym IT support cover?

Gym IT support covers the agreed devices, networks, WiFi, security, connectivity monitoring and supplier coordination that a gym or studio depends on to sell memberships, run classes and let members in.

A gym can run membership and booking software, a billing provider, a door access system, cameras, member WiFi and front-desk devices, each from a different supplier. Some platforms combine several of these functions. We record which system owns each piece of member information, how updates reach the others and who handles exceptions, before agreeing the scope.

Exodesk has supported New Zealand businesses since 1989. Today, our Christchurch and Dunedin teams support businesses nationwide.

What we can help with

Support for staffed and unstaffed hours

The agreement lists the sites, systems and support hours included, so staff know who to call and each supplier knows where its responsibilities start.

Devices

Staff devices and accounts

Front-desk computers, tablets and printers, with individual accounts and access limited to what each role needs.

Network

Network and WiFi

Coverage and capacity for a busy hall, with member WiFi kept apart from business, payment and access systems.

Security

Security and updates

Supported firmware, changed default passwords and secure supplier access for controllers, cameras and network equipment.

Monitoring

Connectivity monitoring

Alerts when the site connection drops, with a named response path and failover where the site needs it.

Suppliers

Supplier coordination

Escalation contacts for membership, billing and access suppliers, so a fault that crosses systems has a coordinator.

Continuity

Unstaffed-hours planning

Outage, lockout and emergency arrangements documented with the gym and its access installer.

Ongoing gym IT support sits within our managed IT services. Coverage design is covered on business WiFi and member networks on guest WiFi.

Responsibilities

Clear boundaries with gym suppliers

We agree the device, network, security and coordination work Exodesk handles, and record what stays with each supplier and with the gym.

Membership and booking vendors support their applications, configuration and supported integrations; we assist with those only where commissioned. The billing provider and the gym handle payment authority, processing and payment exceptions. Locks, wiring, emergency release and compliant door operation stay with the access installer and building owner.

The gym owner or manager sets membership policy, approves access, communicates with members and owns emergency procedures. Recording these roles in advance means a 5am lockout reaches the right supplier first.

Door access

Access systems, outages and unstaffed hours

How a door behaves when the internet or power drops depends on the hardware, firmware, design and configuration. Some controllers work from cached permissions; others need live services for particular functions.

We help document how new members, cancellations, lost credentials and restrictions reach the controller, and what happens while it is offline. A nightly sync may not suit urgent revocation, and membership, billing and access entitlement are kept as distinct records.

Powering only the controller and reader does not prove a door will admit members during an outage; the lock, power supply and network equipment must also work for the agreed runtime. Fail-safe and fail-secure describe lock behaviour on power loss, not the whole escape arrangement. Changes are coordinated with the building owner and competent access or fire specialists, including any compliance schedule that applies. UPS and power protection covers the IT equipment side.

  • Supervised tests. Internet failure, power failure, a revoked test credential, permitted entry and restoration, checked with the installer while safe escape stays available
  • Lockouts and emergencies. How member lockouts are handled and who can authorise remote unlocking, recorded with the gym
  • Support hours. Fault detection, response hours and supplier escalation for gym IT support set out in the service agreement
Network

Member WiFi and network separation

Member devices are kept apart from business systems, payment terminals and access devices. As NCSC explains, separation means access controls between smaller networks that allow only the connections needed.

A separate WiFi name, password or bandwidth cap alone does not establish isolation; firewall or access-control rules enforce the boundary. We confirm the router, switch and access point features available, then test the permitted connections after configuration. A busy hall full of people and mirrors needs coverage and capacity planned for real use, and whether to offer member WiFi at all is a service decision for the gym.

Cameras are another supported system on their own segment, not a dependency of membership or booking. Supplier remote access, supported firmware and named administration responsibilities are part of the agreed gym IT support scope.

Records

Membership, billing and access records

A common software and hardware supplier can reduce integration work, but it does not remove every synchronisation failure. We help name the system that owns each field and set up a regular check of access entitlements against active memberships.

Payment decisions stay with the gym and its billing provider. A member can cancel a direct debit through their bank without the gym’s approval, and Consumer Protection notes that any money still owed must then be paid another way. Systems should record the authority cancellation, the membership cancellation and any final balance as separate events, with failed payments routed to a named person rather than retried automatically after every failure.

Changing software is a planned transfer. We help confirm export contents, format, timing and deletion with the outgoing vendor, ask the providers whether payment authorities or tokens can transfer, and reconcile memberships, balances, bookings and access afterwards.

Privacy

Member information and cameras

Gyms hold contact details, payment records, emergency contacts, health declarations and camera footage. Information privacy principle 5 requires reasonable safeguards, which scale with sensitivity.

We set up role-based access so a casual staff member can check members in without seeing full records, and store screening information only where access controls and retention meet the business requirement. Whether the Health Information Privacy Code applies depends on the services provided, such as clinical or rehabilitation work. For CCTV, necessity, camera placement, notice, access, retention and requests all need decisions, not only signs. Our Privacy Act guide covers the wider duties; IT controls support them but do not certify compliance.

How we start

How the work starts

We begin gym IT support by recording the site and agreeing the order of work with you.

1

Record systems and contacts

List the systems, suppliers, opening hours, support hours and the people authorised to make decisions.

2

Confirm door dependencies

Check entry, emergency escape, power and internet dependencies with the relevant specialists.

3

Compare records

Compare access entitlements with membership records and agree how exceptions and urgent revocations are handled.

4

Review payment workflows

Go through payment-authority handling and failed-payment exceptions with the gym and billing provider.

5

Test and change

Test network separation, permissions and continuity, then stage approved changes and verify essential tasks.

Door work, network changes and migrations can need a maintenance window, temporary staffing or member communications, so timing is agreed with a rollback plan. Planning ahead of your own busiest joining period is worth considering.

Costs

What affects the cost?

A gym IT support quote depends on the sites, devices, network equipment, opening and support hours, and the suppliers involved.

  • Ongoing support. Users, devices, sites and the agreed support hours
  • Network and WiFi. Equipment and configuration needed for separation and coverage, quoted as one-off work
  • Supplier charges. Platform subscriptions, payment fees, connectivity and access hardware, identified with their suppliers
  • Specialist work. Integration, migration or access changes, scoped separately

The proposal separates one-off work from recurring services and states inclusions and exclusions before work starts. Hospitality businesses with counters and kitchens are covered by hospitality IT support.

Questions

Gym IT support questions

What does gym IT support cover?

It covers the agreed devices, networks, WiFi, security, connectivity monitoring and coordination with the suppliers behind membership, booking, payment and access systems. The service agreement lists the sites, systems and support hours included.

Can members enter during a power outage?

That depends on the complete access installation and backup power design. Ask the access specialist to confirm entry, safe escape, runtime and restoration. A UPS on the reader and controller alone does not prove that entry will keep working.

Do you install door locks or access hardware?

No. Locks, wiring, emergency release and compliant door operation stay with the access installer and building owner. We support the network the controller uses and coordinate with the installer on connectivity and outage behaviour.

Should member WiFi share the camera network?

No. Keep member devices separate from camera, business and access systems using supported equipment and enforced network rules. Test isolation and the supplier connections that are needed. A different WiFi name or password alone does not establish the boundary.

Are fobs or phone credentials better?

Choose according to supported hardware, member needs, replacement cost, handset dependency and a tested issue and revoke process. Either credential can stay usable if its cancellation has not reached an offline controller.

What happens when a gym changes software?

Agree the export and migration with both vendors and the billing provider. Confirm what can transfer, whether any fresh payment authority is needed, member communications and reconciliation. Do not assume every authority must be recreated.

Does a gym with few staff need IT support?

Assess operating hours, dependencies, the effect of downtime and who can resolve faults, because headcount alone does not decide it. Agree the support hours, response arrangements and specialist escalation needed for that site.

Is out-of-hours support included for 24/7 gyms?

Only where it is part of the agreed service. Round-the-clock member access does not automatically include round-the-clock IT support, so fault detection, response hours and supplier escalation are set out in the service agreement.
