Property Management IT Support
Exodesk provides property management IT support for agencies across New Zealand. Our Christchurch and Dunedin teams manage agreed devices, accounts, connectivity, records and recovery, while your property software supplier remains responsible for its application.
Ongoing support or one-off projects, whether or not Exodesk manages your wider IT. The scope sets out covered offices, field staff, applications and support hours.
Supporting New Zealand businesses since 1989
What does property management IT support cover?
Property management IT support covers the devices, accounts, connectivity, records and recovery arrangements a property management team relies on, with a clear boundary between Exodesk and your software vendors.
It suits the team managing tenancies and properties, including the property management division of a real estate agency. Residential property managers, sales agencies and body corporate firms work under different rules, so the scope reflects how your business operates.
Exodesk has supported New Zealand businesses since 1989. Today, our Christchurch and Dunedin teams support businesses nationwide, with support hours and site attendance agreed for each agency.
Support for the office and the inspection team
Property managers move between the office, viewings and inspections. They need appropriate access without leaving tenant documents in personal inboxes or photo libraries.
Desks and branches
Devices, printers, connectivity and accounts for each office, with an agreed way for staff to request help.
Phones and tablets
Supported devices with sign-in protection and device management, so access follows the role.
Property software
Device, browser, connection and sign-in issues investigated within our scope, with the supplier engaged where agreed.
Device management helps, but on its own it does not ensure that only compliant devices reach every application; Conditional Access and application support also need configuring. Wiping a lost phone depends on its platform, management and connectivity, so prompt reporting matters. Our mobile device management service covers the device side.
Property software and vendor coordination
Platforms such as MRI Palace and PropertyTree are maintained by their vendor. Exodesk supports the environment around them: devices, browsers, accounts, connectivity and user administration.
A slow application may involve the device, the connection, the sign-in or the vendor service. We investigate within our scope and coordinate the next step with the supplier where agreed. An existing cloud system does not automatically need replacing or moving to a new server.
Accounting rules, ledgers and the application database stay with the vendor and your accountants. Connecting property software to other systems is scoped separately through our business software integration service.
Tenant records and financial access
Named accounts, role permissions and supported sign-in protection help limit who can reach applications and financial records. Your agency decides what to collect, how long to keep it and who approves access.
- Payment changes. New owner or supplier bank details are confirmed through a trusted contact route you already hold, not by replying to the email that asked for the change.
- Staged collection. Request only what the current rental stage needs. The Privacy Commissioner’s rental guidance for landlords covers each stage, including disposing of ID images once verification is complete.
- Retention. Retention and disposal are set by record type and applicable duties, not one keep-everything setting.
- Logging. Logs cover named sources and applications, with retention and alert ownership agreed.
Residential property management sits outside the Real Estate Agents Act trust account audit regime, as the Real Estate Authority explains, so obligations depend on the activity. IT controls support your financial procedures; they do not certify trust accounting. A misdirected email can be a privacy breach, and our NZ Privacy Act guide explains when notification is required.
Inspections and mobile forms
Start with the inspection and mobile features your property software already provides.
Where a workflow still needs custom forms, Exodesk’s Transsend can capture notes, photographs and signatures, including offline capture that synchronises when a connection returns.
The destination system, connection method, permissions and validation are checked before relying on automatic transfer. Testing includes incomplete submissions, failed synchronisation and duplicate records.
How property management IT support is set up
Each arrangement starts with your offices, field staff, applications and the problems you want to solve.
Review
Record offices, field staff, devices, applications, vendors and current problems.
Agree the scope
Confirm support hours, site attendance, vendor boundaries, backup and recovery, and separately scoped work.
Set up
Configure accounts, permissions, devices and agreed protection in stages around your workload.
Support and review
Handle requests within the agreed scope and review access and records as staff and portfolios change.
Portfolio and staff changes need an access and records handover, including applications outside your main work account. Microsoft 365 backup and property software recovery are different scopes, so we agree which data Exodesk protects, what the vendor maintains and how recovery is requested and tested.
What affects property management IT support cost?
Cost depends on users, devices, offices, applications, recovery scope and support coverage.
- Ongoing support. Users, devices, sites and support hours under a fixed monthly arrangement.
- Projects. Setup, migration, integrations and Transsend configuration, scoped separately.
- Licences. Software and any additional licences, shown separately.
- Backup and security. Separately agreed recovery or security work, where it applies.
- Terms. Exclusions, GST and the term, set out in the quote.
The overall agreement is described on our managed IT services page, and our IT for professional services guide covers the confidentiality principles shared with other client-records businesses.
Property management IT questions
What does property management IT support cover?
It supports the agreed devices, accounts, connectivity and records used by the agency. The agreement identifies property software vendor responsibilities, office and field support, security controls and recovery arrangements. It does not automatically include application development or accounting advice.
Can you support our existing property management software?
Confirm the platform and the work required. Exodesk can support the agreed environment around the application, while its vendor remains responsible for the software itself. Vendor coordination, user administration and any integration work are identified in the scope.
Do we need a new server for cloud property software?
Not automatically. A hosted application may already run in the cloud of its vendor. Your agency still needs suitable devices, connectivity and access controls, so check dependencies and existing services before deciding whether any server or hosting change is needed.
How do you help protect payment and client money records?
Use named accounts, appropriate permissions, strong supported authentication and agreed logging. Confirm payment-detail changes through a trusted contact route. These controls support your financial procedures; they do not establish that the agency meets every accounting or legal obligation.
How should we handle tenant documents?
Collect only the information needed for the relevant stage, restrict access and use approved sharing methods. Set retention and disposal by record type and applicable duties. Your agency owns those decisions, and technical controls help apply them consistently.
Can staff work securely from inspections?
Use supported applications, protected devices and appropriate sign-in controls. Access and offline features depend on the platform and configuration. Lost-device actions also have limits, so prompt reporting and account controls matter alongside device management.
Can Transsend send inspection data into our property system?
Transsend supports mobile forms and delivery into agreed destinations. Check the existing inspection features first, then confirm the destination, connection method and any development required. A working connection and successful validation are needed before relying on automatic transfer.
Who restores data if the property application is unavailable?
It depends on the cause and where the data is held. Agree what Exodesk backs up and what the application vendor can restore, including scope, retention and support routes. Restoration time depends on the affected system and tested recovery arrangements.
How much does property management IT support cost?
Cost depends on users, devices, sites, applications, recovery scope and support coverage. Exodesk uses fixed monthly managed IT arrangements, with inclusions agreed. Identify licences, projects, integrations and other separately charged work before comparing the monthly total.
Where does Exodesk support property management teams?
Our Christchurch and Dunedin teams support property management teams nationwide, whether or not we manage your wider IT. Remote support, site attendance and support hours are agreed for each agency, and one-off projects are also available.
